Job portals, visa centres, university admissions, tenders, and grant bodies increasingly ask for one thing: a single PDF containing everything. If you send seven files, or the pieces in the wrong order, it comes back — and sometimes it doesn’t come back at all, it just gets marked incomplete.
Merge PDF combines up to 30 PDFs into one document in the order you set. Add all the files, arrange them with the up and down controls, remove anything you added by mistake, and download one file — every page copied across exactly as it is, fonts, images, and layout preserved, nothing re-rendered or downgraded.
The order matters more than people expect. Most application checklists are numbered, and a reviewer working through a fifty-applicant pile checks against that list. Follow it exactly:
- Cover letter or application form
- Identity documents
- Qualifications, in the order listed
- Experience or supporting letters
- Anything optional, last
Your evidence rarely starts as PDFs, so convert each piece before merging: Word documents through Word to PDF; photos of certificates or IDs through Scan to PDF if you’re photographing them now, or Image to PDF for pictures you already have; spreadsheets through Excel to PDF; slides through PowerPoint to PDF.
What actually gets applications rejected
A locked file in the stack is the most common one — bank statements and payslips often arrive password-protected, and an encrypted PDF can’t be merged. If one of your files is locked you’ll be told exactly which one; remove its password with Unlock PDF (you need to know it) and merge again.
Going over the size limit is the second. Merge first, then compress the combined file — compressing each piece separately and merging afterward usually ends up bigger. Open the result afterward and check everything is still legible.
Pages sideways happens surprisingly often; scanned certificates land at 90° more than people expect. Rotate them before you merge — a reviewer tilting their head is not the impression you want. Blank pages between sections are scanner artefacts and duplex leftovers; delete them. And if the sequence turns out wrong late in the process, don’t re-merge from scratch — reorder the pages of the combined file by dragging thumbnails.
Before uploading: page through the whole file once (it’s the only way to catch a missing document or a duplicate), confirm the page count against the checklist if they gave one, check the size against their limit, and look at the metadata — a merged file’s title and author come from whichever piece was first, so your submission may be titled scan0043 or carry a colleague’s name, and setting a sensible title takes ten seconds. Name the file as instructed, too; many portals specify a format like Surname_Firstname_Application.pdf.
Limits: 30 files per merge, 25 MB per file. Scanned PDFs merge perfectly, with no quality loss.
