Freeze the spreadsheet before you send it

Both .xls and .xlsx workbooks are supported, including ones with several worksheets. The output is a fixed PDF: whatever the workbook's own layout and page settings — margins, print area, column widths — say about how each sheet should look, that is what the PDF renders, sheet by sheet.

Sending a live .xlsx hands over an editable model: formulas can be recalculated and a stray click can overwrite a cell, so the recipient sees your workings rather than your conclusion. A PDF is useful when you want them to see a fixed version instead — the numbers and layout stop being editable once they are on the page. That is not a guarantee that the PDF will look identical on every printer or screen (font substitution and viewer rendering can still shift small details slightly), but the content and layout it captures do not change after you send it.

Every worksheet in the workbook is included in the PDF, in the same order as their tabs, and each one is scaled to fit the page width before rendering so wide sheets keep their columns together instead of shedding the right-hand ones onto separate pages.

Convert Excel to PDF without cutting off columns

A common problem when you convert Excel to PDF is a wide sheet spilling across several pages, with columns cut off at the edge. Our converter addresses that by scaling each worksheet to fit one page wide before rendering, so columns are more likely to stay together instead of breaking onto extra horizontal pages. On a very wide spreadsheet, that scaling can make the text noticeably smaller to fit everything in — fit-to-width helps with cut-off columns, but it is not a guarantee that every worksheet will look ideal at any width. Excel to PDF that keeps your layout

Common formatting — fonts, cell borders, fills, number formats, and the basic layout of each worksheet — is intended to carry into the PDF as it appears on screen. More complex Excel features can render differently: charts, conditional formatting, unusual print settings, macros, and other advanced workbook features are not guaranteed to come through identically. Formulas are not carried over as live formulas either — a PDF shows the calculated result that was displayed at the time of conversion, not an editable formula. That trade-off is the point for documents meant to be read rather than edited, such as invoices, reports, price lists, and statements you need to share as a fixed document rather than a working spreadsheet.

Why does my Excel sheet split across pages?

It usually comes down to the sheet being wider than one printed page. If a worksheet has a lot of columns, no scaling applied, or a print area left over from an earlier print job, Excel and PDF renderers alike will spread it across multiple pages instead of one. Our converter forces each worksheet to fit one page wide, which resolves the width problem for most sheets — but an unusually wide worksheet can still end up with smaller text, and rows will still paginate vertically as normal once a sheet runs longer than one page tall.
